The digital toolbox I use when life is messy but business has to run

Oct 12, 2025

Some days I’m a strategist.
Other days I’m a woman answering emails with one hand, stirring dinner with the other, and wondering where the dog wandered off to.

That’s real life.
And it doesn’t pause just because we have a business to run.

If you’ve ever Googled “best tech tools for entrepreneurs” and immediately felt overwhelmed by jargon, features, and fancy dashboards—let me stop you right there.

You don’t need 50 new platforms.
You need a few simple tools that help you feel less scrambled, more supported, and (bonus!) maybe even a little excited to show up for your biz again.

Here’s a peek into the actual toolbox I use when life gets messy but business can’t wait.

What “Busy” Really Looks Like for Women Like Us

Let’s be honest:
When we say we’re “busy,” we’re not just talking about full calendars.

We’re talking about:

  • Emotional load (kids, family, clients, community)
  • Mental clutter (ideas, content, invoices, dinner plans)
  • Physical exhaustion (hello, back-to-back Zooms and toddler meltdowns)

Most tech tools out there are built for teams.
We’re over here being the entire team.

Which means the tools we use need to be gentle.
Flexible. Easy to set up and forgiving to forget.

Because yes, some days we’re building out a new service suite.
And other days? We’re just trying to get a post up before 10 p.m.

How I Choose My Tech Stack

I keep it super simple.
My golden rule?
If a tool isn’t helping me save time or mental energy—it’s out.

I look for tools that:

  • Are intuitive (I shouldn’t need a course to use them)
  • Don’t make me feel behind
  • Work across devices (because sometimes I’m planning from the garden or couch)

I’ve tested dozens of apps, platforms, and “must-haves.”
Here’s what actually stuck—and why.

My Go-To Tools When Life Gets Messy

📝 Notion (or Trello if you’re more visual)
Perfect for brain dumping, project planning, content calendars, and keeping everything in one spot. I have a “Cocoa & Content” page that’s basically my digital second brain.

📅 Acuity Scheduling
No more back-and-forth emails about time zones. Clients can book with me directly, and it even sends reminder emails so I don’t forget what day it is.

📱 Later
My go-to for scheduling Instagram and Facebook posts in one swoop. I batch once every couple of weeks and let it do its thing. Less pressure, more peace.

🎨 Canva
Honestly, if Canva disappeared, I might cry. I use it for social posts, PDFs, workbooks, stories, and anything that needs to look polished without me hiring a designer.

🗂️ Google Drive
I keep all my client docs, brand assets, and planning sheets here. No more digging through 20 email threads for “that one thing I sent you.”

🎙️ Otter.ai or Voice Memos
Some of my best content starts as a voice note. If I’m walking the dog or hanging the laundry and an idea hits? I speak it out. Later, I turn it into a post or email.

💡 Insider Tip from Christene: When I have zero brainpower, I open Notion and just brain dump into a page I titled “The Messy Middle.” No pressure to organize—just get it out. That alone saves me hours later.

Tips for Making Your Tools Work For You

  • You don’t need all of these. Pick ONE.
  • Test it for a week, then decide if it helps.
  • You’re allowed to delete what doesn’t feel good.
  • Use paper planners or sticky notes if that’s your thing. (I still do.)
  • Don’t worry about “doing it right.” Doing it your way is right.

Tech is here to support you—not shame you.
There’s no “behind” here.

A Quick-Start Plan for Tech-Skeptical Business Owners

If all of this still feels like a lot, here’s what to do:

  1. Choose one tool (I suggest Later or Notion to start)
  2. Use it once—to plan a post or brain dump ideas
  3. See how it feels. No pressure. Just try.
  4. If it works, great. If not, try another next week.

There’s no rush. This is your business, your rhythm, your pace.

You Don’t Have to Master Tech to Be Brilliant at Business

Let’s stop pretending like productivity is the same as worth. You’re allowed to run your business on imperfect systems and voice notes and sticky notes stuck to your fridge.

You don’t need to know all the latest tools. You just need a few that make life easier.

And if you want help figuring out what tools will work best for your brain, your business, and your beautiful, messy life—I’d love to help.

Let me guess:You’ve downloaded 47 content calendar templates… and used none of them. Same. If content planning makes you want to cry into your hot chocolate, I want you to know you’re not alone—and you’re not doing it wrong. The problem isn’t you. It’s the...
